Super-charge your Organisation’s AI Adoption

My colleagues Chris Percival, Dr Gareth Digby and I have been making great strides with our clients on AI adoption. In this article I want to give away the best tool we have created to super-charge your AI adoption. The tool and accompanying method blends the new with the old. A tried-and-trusted solution, adapted and re-purposed for a new age, a new set of problems and a new universe of possibilities.


Turn your favourite AI into an AI adoption coach using the Sent-Ai-Ance Ai3 Plan Generation Prompt

You can’t have missed the significant issue that many organisations are facing: whilst many now have access to amazing AI tools in the form of Claude, ChatGPT, MS Co-pilot et al, still there is a lack of effective general adoption in the workplace. AI is not making the promised impact on effectiveness and efficiency that that pundits and influencers were predicting.


At some level that is surprising. After all, the tools are incredible – technology that only a few years ago would have still been science-fiction. I spend much of my time working on the hard-core technical end of AI, and yet every day I am surprised and amazed by what these tools can do.


But, at another level it is not at all surprising. Readers of my other blog posts will know that I have always believed that the blocker here will not be the technology but in our ability to build organisational capability. In particular, we have to work out how to quickly build and adapt organisational capability to fully take advantage of AI technology.


We have already researched and successfully rolled out the overall Sent-Ai-Ance model for capability uplift. And now we want to give you the tools for grass-roots adoption of AI. We want to share the kick-starter that transforms working practices at the operational level. A method that builds engagement, respects people and enables rapid, agile, broad-based adoption of AI technology.


Importantly, it lets the people doing the work and who understand it best to guide and shape forward actions.


The first element of our tool-kit is a highly-developed, structured prompt that enables any reasonably capable Large Language Model to act as a ‘AI Sensei’ - an expert that guides you through your improvement journey. The Sent-Ai-Ance Ai3 prompt is designed to be use by people doing hands-on tasks in organisations. Pasted into the input window of Claude, ChatGPT or other LLM the Sent-Ai-Ance Ai3 prompt engages in a conversation with the user about their work and tasks, the effort they are spending and their frustrations and inefficiencies.

Reviewing the Sent-Ai-Ance, Ai3 Plan

The Ai3 prompt draws on a huge database of job-descriptions and tasks, to build a clear understanding of what people are actually doing. Our Ai3 prompt works through ideas with users and then guides identification of key problems pain-points, AI use-cases and potential solutions.

But here is the key thing: Our solution is not just a prompt – it’s a Systems Thinking approach to AI adoption and capability development. It leverages both AI capability and key ideas from Continuous Improvement.


The Sent-Ai-Ance Ai3 prompt creates a version of the classic A3 plan for solving work-place problems. It produces a step-by-step guide, for colleagues doing the work to improve the effectiveness of their own use of AI. The tool provides specific prompts that can be used directly. It lays out a proposed plan, to be agreed with supervisors, managers and team leaders for improving the work.


The ‘Sent-Ai-Ance Ai3’ worksheet provides all of the steps for rapid adoption: planning, tracking and evaluation. The worksheet even includes a table of ‘next-step’ ideas .. things to focus on after the current round of improvements are embedded.


Our experience is that people do want to adopt AI tools - but there are barriers to them doing so. People are aware of the potential, but most people are busy doing their day job. Many have not been trained on Continuous Improvement.


In the spirit of Kaizen, the Sent-Ai-Ance Ai3 prompt and the Ai3 worksheet it produces super-charge adoption in a people-focussed, ‘Gemba based’ method.

AI is not enough!


Now, we don’t pretend that this solves all of the problems of AI adoption. Most organisations will benefit from coaching and support, both in terms of the technology and in the use of our method. It makes a huge difference for colleagues close to the work are trained with something like a Yellow-Belt or Green Belt in Lean Six Sigma.


We advocate for all colleagues and staff members close to the actual work, to run Ai3 projects to improve their own effectiveness and efficiency with the support of AI. This is the classic 'Kaizen' method of continual process improvement applied to AI adoption and capability building.

At the organisational level, organisations should consider adoption of the 'full-up' Sent-Ai-Ance model for corporate wide impact. These two methods work together and whereas the full Sent-Ai-Ance model requires corporate coordination, training and infrastructure our new Ai3 prompt and the Ai3 worksheet can be leveraged immediately by staff in the gemba.
